Questions
The things you’d ask before trusting this with a session.
Including the ones where the answer isn’t flattering. If something here changes your mind about signing up, it saved us both time.
Getting started
Do I need to change my practice software?
No. ScribeUp doesn't replace your EHR and doesn't sync with it. You record a session, read the note, and paste it into whatever you already use — Splose, Halaxy, Cliniko, Nookal, a Word doc, anything with a text field.
If you install the Chrome extension, it opens as a side panel so you can record right next to the EHR tab you already have open, instead of switching between tabs — you still copy the finished note across yourself.
What do I need to run it?
A laptop or phone with a browser and a working microphone. The Chrome extension is optional and only adds the side-panel recorder — you still copy the finished note across yourself.
You'll want a working internet connection to sign in and to get your note back at the end. Recording itself keeps going even if your connection drops partway through the session.
How long does setup take?
Signing up takes a couple of minutes. Adding a client's NDIS goals takes about five, and you only do it once — every future note for that client maps back to them automatically.
NDIS
How good is the note, honestly?
Good enough to edit, not good enough to send unread. It's a structured first draft that captures what happened and links it back to the right goals, which is the part that takes you longest. You're still the clinician: check it, fix what's wrong, add the clinical reasoning only you have.
Anyone telling you their scribe produces notes you never need to read is selling you something you shouldn't buy.
I'm a speech pathologist. Will it capture articulation errors?
No, and this matters enough that we'd rather say it here than have you find out mid-pilot. Speech recognition resolves mispronounced words to their intended form — a child saying "twuck" transcribes as "truck". That's inherent to how speech recognition works, not a setting we can switch off.
So ScribeUp is a session-summary tool, not an articulation assessment tool. In practice, practitioners get around it by naming the error aloud during the session — "that was a w-for-r substitution on truck" — which transcribes correctly and lands in the note. If your notes live or die on phonetic transcription, we're not the right tool for that part of your work.
Does it write differently for different disciplines?
Yes. An OT note and a speech note have different structures, different vocabulary and different things worth recording. Occupational Therapy and Speech Pathology are live now; Psychology, Physiotherapy and Exercise Physiology are next.
What report templates can I choose from?
Six, and every tier gets all of them: Standard (no fixed structure), SOAP Note, NDIS Progress Note (goal-linked, with a mandatory goal reference and progress rating), DAP Note (a lighter Data/Assessment/Plan alternative to SOAP), NDIS FCA Mode (Communication Domain), and End of Plan Summary — one section per goal on the client's plan, generated the same way as any other template, from that one session's transcript, not from any prior session history.
Both Occupational Therapy and Speech Pathology get the full set, written in their own discipline's vocabulary. NDIS FCA Mode is scoped strictly to the Communication domain — the part of a Functional Capacity Assessment within a speech pathologist's scope of practice. An OT version covering the other FCA domains is on the roadmap, not live yet.
What happens if my internet drops mid-session?
Nothing — recording continues even if your connection drops. Your browser keeps the audio safe on your own device the whole time you're recording, so a dropped connection or a closed laptop doesn't cost you the session. That local copy is cleared as soon as your note is generated.
Privacy and consent
Where does the recording actually go?
It's captured and held securely on your own device while you record, then sent off for transcription the moment you stop. The text goes to a language model to be written up. Both providers are configured so nothing is retained and nothing is used to train models. Once your note appears on screen, the audio, the transcript and our copy of the note are gone.
The full walkthrough, including which providers are involved and where they sit, is on the data page.
Do I need my client's consent?
Yes, and the app makes sure of it. A consent screen appears before every recording — not once at signup. Obtaining and documenting that consent remains your professional responsibility; we just make it impossible to skip the step by accident.
Can I get a session back later if I need it?
No, and that's deliberate. There is no history, no archive and no recovery, because nothing is kept. Once you paste the note into your EHR, your EHR holds the record. If you close the tab before copying it, the note is gone — so the app warns you before you do.
Is my data stored in Australia?
Your account, subscription status, client goals and usage counts live in a Supabase project hosted in Australia. Transcription and note generation happen at overseas providers in transit, with nothing retained at either. We'd rather tell you that plainly than bury it.
GP
Does it support Medicare item numbers like GPMP and TCA?
Yes — the Chronic Disease Management Note combines a GP Management Plan and Team Care Arrangement in one Medicare-aligned document, structured around what those items require you to document, so the note you review is already close to what you'd bill against.
Does it work for telehealth consults?
Depends how the call happens. If it's a video consult running in a browser tab (Zoom, Coviu, HealthDirect Video Call and similar), pick "Virtual call" before you start recording — it captures the call's audio directly, both sides, cleanly separated from your own mic.
If it's a plain phone call, there's no separate mode for that: it records the same way as an in-person consult, through your own microphone. Put the call on speaker so the patient's side reaches your mic, the same as it would for anyone else in the room — otherwise only your side gets captured.
Can I use it for home or RACF visits?
Yes — recording works the same wherever the consult happens. You'll want a reliable connection for live transcription, but a dropped connection mid-visit doesn't cost you the session.
Does it integrate with my practice software?
There's no direct integration yet — you copy the finished note across. The Chrome extension doesn't insert it for you, but it does let you record from a side panel next to the note field you already have open, so you're not switching tabs. Your practice software stays the permanent record.
Where is my data stored?
Recording and transcription run in the AU region. Notes are generated under a zero-retention agreement, and nothing — audio, transcript or note — is kept afterwards.
What happens if the internet drops mid-consult?
Audio is buffered locally on your device during recording, so a dropped connection doesn't lose the session — it resumes rather than restarting.
Psychiatrists & specialists
Which specialities are supported today?
Six at launch: psychiatry, dental, gastroenterology, gynaecology, dermatology and ENT. More may be added over time.
How does speciality selection work?
You choose your speciality once during signup and it's locked from that point on — this keeps your templates and terminology consistent with your speciality rather than mixing sets.
What if I need to change my speciality later?
It isn't self-service by design. Contact support and our team will make the change — this stops an account silently ending up with the wrong templates.
Do templates really differ by speciality?
Yes. Once your speciality is locked, only that speciality's templates appear — a psychiatrist never sees dental templates, and vice versa.

Billing and support
What if I go over my note limit?
Nothing stops working. Extra notes are billed on your next invoice at your plan's per-note rate — $1.50 on NDIS, $2.00 on GP, $2.00 on Psychiatry and Others — and you'll see a warning in the app well before you get there. You will never be cut off in the middle of a session.
Can I cancel?
Any time, from your account, effective at the end of your billing period. No lock-in, no exit call, no retention offer you have to argue your way past.
Who am I actually emailing when something breaks?
A small Australian team. Email gets a real answer, usually the same working day.
Not answered here?
Ask directly. There’s no sales team to get past — the reply comes from the people building it.
